Authority Admin Help
Managing your team's training records
A guide for authority administrators on viewing subscriber records, organising teams, running reports, and managing training assignments.
Your authority portal
Access the authority portal
Log in at /login with your authority admin credentials, then go to /authority. Your portal shows a dashboard with your authority's subscriber count, active subscriptions, and recent training activity.
What you can see
As an authority admin you have view-only access to training records and certificates for all subscribers within your authority. You cannot edit subscriber details or manage subscriptions — those actions are handled by the ABC Food Law Enforcement site administrators.
Common questions
Team records
View your team
In the authority portal, click 'Team Records'. You will see a list of all subscribers registered under your authority, with their name, email address, subscription status, and subscription expiry date.
View an individual's training
Click on a subscriber's name to see their full training record — all webinars, tutorials, and official guidance courses they have completed, with dates and CPD hours.
View certificates
From an individual's training record, you can view and download their CPD completion certificates. This is useful for maintaining your authority's training records or responding to audit requests.
Common questions
Managing teams
What teams are for
Teams let you organise your subscribers into sub-groups — for example by department, service area, or office location (such as Environmental Health, Trading Standards, or Port Health). Teams are optional; subscribers without a team still appear in your Team Records view.
Create a team
In the authority portal, click 'Manage Teams', then click 'New team'. Enter a team name (required) and an optional description, then click 'Create team'. The team will appear immediately in your teams list.
Assign subscribers to a team
Subscribers not yet in a team appear in the 'Unassigned members' panel at the bottom of the Manage Teams tab. Use the dropdown next to each subscriber's name to select a team, then click 'Assign'. The subscriber moves into that team straight away.
Remove a subscriber from a team
Within a team's member list, click 'Remove' next to a subscriber's name. They will move back to the Unassigned members panel and can be reassigned to a different team at any time.
Edit or delete a team
Click the pencil icon next to a team name to rename it or update its description. Click the bin icon to delete a team — this unassigns all its members but does not remove them from your authority or affect their training records.
Common questions
Training Needs Adviser
What it is
The Training Needs Adviser is a self-assessment tool available to all active subscribers. It allows officers to rate their confidence against the FSA Competency Standard and receive personalised webinar recommendations. It is accessed by subscribers from their portal at /portal/competency-adviser.
How it supports your authority
You can encourage your team to use the Training Needs Adviser as part of their annual appraisal or CPD planning process. The tool produces a prioritised list of recommended webinars and a short CPD planning note that officers can share with you or include in their development record.
What you can see
Self-assessment ratings are not saved or shared with authority admins — they are used only to generate the subscriber's recommendations in that session. What you can see in Team Records is the training completions that result from subscribers acting on those recommendations.
Common questions
Reports & exports
Run a training report
In the authority portal, click 'Reports'. The report shows all training activity for your authority's subscribers — courses completed, CPD hours earned, and assessment results — for a date range you specify.
Export to CSV
Click 'Export CSV' to download the report as a spreadsheet. The export includes subscriber name, email, course title, completion date, CPD hours, and certificate number. This is suitable for uploading to your authority's own training management system.
Filter the report
Use the filter options to narrow the report by date range, subscriber, or course type. You can export a filtered view or the full dataset.
Common questions
Training assignments
Assign training
In the authority portal, click 'Assign Training'. Select one or more subscribers from your team, then select the course or courses you want to assign. Assigned training appears in the subscriber's portal with a prompt to complete it.
Track assigned training
The Assignments view shows all active assignments for your authority — who has been assigned what, whether they have completed it, and when the assignment was made.
Remove an assignment
To remove an assignment, find it in the Assignments view and click 'Remove'. This removes the prompt from the subscriber's portal but does not affect any completions they have already recorded.
